Quick Start

New to FolderMagicApp? Here's the fastest way to get up and running. You'll have organized files in under 2 minutes.

Create Your Account

Getting started is quick and free. No credit card needed.

1

Go to FolderMagicApp

Visit foldermagicapp.com and click the Get Started Free button.

2

Sign In with Google

Click "Sign in with Google" and choose your Google account. FolderMagicApp uses Google's secure login — we never see or store your password.

3

You're In!

That's it. You'll land on your FolderMagicApp dashboard where you can connect cloud storage and start organizing.

Tip: FolderMagicApp works best in Google Chrome or Microsoft Edge. Make sure you're using a modern browser for the best experience.

Tell Us About You

This optional step helps FolderMagicApp give you smarter folder suggestions. It takes about 30 seconds and makes a big difference. Not a business? No problem — it works for personal use too.

1

Go to Step 1 on Your Dashboard

After signing in, find the Tell Us About You card at the top of your dashboard.

2

Answer 5 Quick Questions

Tell us about your work, what kinds of files you use, how you prefer to organize, your team size, and anything special about your needs. Examples:

Industry: Real Estate, Education, Personal Use, etc.
File types: Contracts, Photos, Invoices, etc.
Organization style: By project, by client, by date, or let FolderMagicApp decide

3

Save & You're Done

Click Save & Continue. Your profile collapses into a one-line summary you can edit anytime. FolderMagicApp will now use this info to suggest folders and sort files in ways that fit your specific needs.

Tip: You can skip this step and come back later, but filling it out first means FolderMagicApp gives you better folder suggestions from the start.

Connect Your Cloud Storage

FolderMagicApp works with the most popular cloud storage services. You can connect one or multiple accounts.

Supported Providers

FolderMagicApp currently supports:

  • Google Drive — Personal and Workspace accounts
  • Dropbox — Basic, Plus, and Business accounts
  • Microsoft OneDrive — Personal and work accounts
1

Go to Your Dashboard

After signing in, you'll see your dashboard. Look for the "Cloud Connections" section.

2

Click "Connect" Next to a Provider

Choose which cloud storage you want to connect. Click the "Connect" button next to Google Drive, Dropbox, or OneDrive.

3

Authorize Access

A popup will appear asking you to allow FolderMagicApp to access your files. This is safe — we only request the minimum permissions needed to organize your files.

4

Confirm Connection

Once authorized, you'll see a green "Connected" badge next to the provider. Your files are now accessible to FolderMagicApp.

Tip: On the Free plan, you can connect 1 cloud account. Upgrade to Pro for up to 3 accounts, or Enterprise for up to 10.

Make Your First Magic Folder

Your Magic Folder is the heart of FolderMagicApp. It's the one folder you drop everything into — downloads, screenshots, attachments, anything. Then we sort each file out into the right place in your cloud storage. After sorting, your Magic Folder is empty and ready for the next batch.

1

Connect a Cloud Provider

When you connect Dropbox or OneDrive in Step 2 of your dashboard, we'll automatically make a "Magic Folder" in your cloud storage. For Google Drive, you'll pick an existing folder using Google's folder picker.

2

Your Inbox Is Ready

Your Magic Folder appears in your cloud storage just like any other folder. Think of it as your drop zone — files go in, we sort them out to the right places.

3

Add Files to Your Magic Folder

You can add files two ways:

Browse & Add — Use Step 3 on your dashboard to browse your cloud storage, pick files or folders, and move them into your Magic Folder
Directly — Move or upload files into your Magic Folder using Dropbox or OneDrive. Note: For Google Drive, pick individual files (not folders) through Browse & Add. Files dragged manually into your Magic Folder or added as folders can't be sorted due to Google Drive permissions.

4

Tip: Your Magic Folder Is Your Drop Zone

In Browse & Add, your Magic Folder appears with a special icon and no checkbox — you can click it to browse inside, but you can't accidentally pick it as a destination. Files go IN to your Magic Folder, then get sorted OUT.

Note: On the Free plan, you can create 1 Magic Folder. Upgrade to Pro for up to 3, or Enterprise for up to 10.

Organize Your Files

Now for the fun part! Your Magic Folder is a drop zone — drop files in, and we sort them out into the right places across your cloud storage.

1

Drop Files Into Your Magic Folder

Move or upload files into your Magic Folder. You can do this directly in Google Drive, Dropbox, or OneDrive — just put files in that folder like normal. You can also use the "Browse & Add Files" button on your dashboard.

2

Click "Sort Files Now"

On your FolderMagicApp dashboard, click the Sort Files Now button.

First time only: You'll see a setup wizard where you choose your organization style:

Simple — Up to 10 folders, no subfolders
Detailed — Up to 20 folders, with subfolders
Custom — You pick the folder limit and subfolder preference
Let FolderMagicApp Decide — Recommended for most users

FolderMagicApp will scan your existing folders, suggest a structure, and you approve it with checkboxes. This only happens once per cloud provider.

3

Review Where Files Will Go

FolderMagicApp shows you a preview of where each file will be sorted. Media files are auto-sorted instantly by type — no waiting:

• 📸 Photos (.jpg, .png, .heic) → /Photos (auto)
• 🎵 Music (.mp3, .m4a, .wav) → /Music (auto)
• 🎬 Videos (.mp4, .mov) → /Videos (auto)
• 📄 Documents → matched by FolderMagicApp to the best folder

If FolderMagicApp encounters a file that doesn't fit any existing folder, it will suggest creating a new one automatically.

4

Sort & Done!

Click the green "Sort Files Into Your Folders" button. FolderMagicApp sorts files in batches — just click once and let it run. Sorting continues automatically through all your files.

For large sorts (500+ files), you'll see an estimated time. You can leave the page running and FolderMagicApp will keep sorting. Use the Pause button to stop anytime.

If a file already exists at the destination, we automatically replace it — no duplicates, no stuck files. After sorting, empty folders in your Magic Folder are cleaned up automatically.

Tip: Your first sort with thousands of files may take 30–60 minutes — this is normal. After your initial sort, set up Scheduled Sorting (Pro and Enterprise plans) to keep new files organized automatically. Scheduled sorts handle small batches as files arrive, so they're fast and hands-free.
5

Cleanup Tools

FolderMagicApp includes built-in cleanup tools on your dashboard:

Scan for duplicate & system files — Finds and removes duplicate copies and system files (.ico, .icns) from your organized folders
Clean up junk files — Removes icon and config files from your Magic Folder that don't need sorting
Delete empty folders — When browsing an empty folder in Browse & Add, a Delete button appears

Tip: Your folder structure grows over time. When FolderMagicApp creates a new folder for an unmatched file, it remembers that folder for future sorts. The more you use FolderMagicApp, the smarter it gets.

Find Duplicate Files

Over time, cloud storage accumulates duplicate files that waste space. FolderMagicApp can find them for you.

1

Go to "Duplicate Finder"

From your dashboard, navigate to the Duplicate Finder section. This scans your connected cloud accounts for files that appear more than once.

2

Run a Scan

Click "Scan for Duplicates." FolderMagicApp will compare files across your cloud storage and group any duplicates it finds.

3

Review and Clean Up

You'll see groups of duplicate files with their locations. Choose which copies to keep and which to remove. FolderMagicApp will never delete files without your explicit approval.

Sort It Later

Got a big batch and want it done overnight? Use Sort It Later to pick a time. We'll run your sort while you are away. This works on every plan, even free.

1

Find the "Or sort it later" Box

On your dashboard, scroll to the Sort Files Now button. Right below it you will see a small box that says Or sort it later.

2

Pick Your Storage

From the drop-down, choose Dropbox, OneDrive, or Google Drive. This tells us which Magic Folder to sort.

3

Pick a Time

Click one of the quick options:

Tonight at 9 PM — Great for ending your day clean
Tomorrow at 9 AM — Sorted before you start work
Pick a time... — Choose any date and time you want

4

Done

You will see a green box that says when the sort will run. If you change your mind, click Cancel.

Tip: Sort it later is perfect for the first big sort. Drop in hundreds of files, schedule it for tonight, and wake up to an empty Magic Folder.

Set Up Scheduled Sorting

Don't want to manually organize every time? Set it on autopilot with scheduling. (Pro and Enterprise plans)

1

Open Your Magic Folder Settings

Click on any Magic Folder from your dashboard, then click the "Schedule" tab or settings icon.

2

Choose a Frequency

Pick how often you want FolderMagicApp to automatically sort your files:

Every hour — For high-volume folders
Daily — Good for most users
Weekly — For lower-traffic folders

3

Enable Email Notifications

Turn on email notifications to get a summary each time your files are automatically organized. The email tells you exactly which files were moved and where they went.

Tip: Start with daily scheduling. You can always adjust the frequency later once you see how many files accumulate.

Folder Snapshots (Safety Net)

A snapshot is a saved copy of where every file lives right now. If you ever want to put things back the way they were, click Restore. We also save one for you before your very first sort, just in case.

1

Find the Folder Snapshots Card

Scroll down on your dashboard to Optional Features. You will see a card called Folder Snapshots.

2

Save a Snapshot

Pick your storage from the drop-down. Type a name (or leave it blank). Click Save snapshot. We'll quickly take a picture of your folder layout.

3

Restore Anytime

Each snapshot has a Restore button. Click it, confirm, and we'll put every file back where it was when the snapshot was saved. Files that were deleted or renamed will be skipped.

Good to know: Free users get 1 snapshot per cloud. Pro users get 10 per cloud. Enterprise users get 25. The desktop app stores up to 10 snapshots on your computer.

Undo & Activity Log

Made a mistake? Don't worry. FolderMagicApp keeps you in complete control.

How to Undo File Moves

1

Find Recent Moves on Your Dashboard

Scroll down on your dashboard to the Recent Moves section. Moves are grouped by batch — each batch shows how many files were sorted and where they went.

2

Undo a Single File or Entire Batch

Click the arrow on any batch to expand it and see individual files. You can:

Undo Batch — Reverses all moves in that batch at once
Undo (individual) — Click the Undo button next to any single file to move it back

3

Files Move Back Instantly

Undone files are moved back to their original location in your cloud storage. The move is removed from your history.

Tip: Recent Moves shows your last 500 moves, grouped by batch. Timestamps are shown in your local time zone.

Refer & Earn Rewards

Love your Magic Folder? Tell a friend — and earn real rewards. Every account gets its own share link, and the more friends sign up, the more you save:

  • 5 friends sign up → $10 off Pro
  • 3 friends upgrade to Pro → Free Pro for you
  • 5 friends upgrade to Enterprise → Free Enterprise for you
1

Find Your Share Link

Scroll down on your dashboard to Extra Tools. Look for the yellow Refer & Earn card. It shows your share link and your progress toward each reward.

2

Copy Your Link

Click the Copy link button. Your unique link is now on your clipboard. It looks like https://foldermagicapp.com/?ref=YOUR-CODE.

3

Share It

Paste your link into a text, email, social post, or productivity group. When a friend signs up using your link, we will know it came from you.

Tip: The best places to share: a productivity group on Facebook or Reddit, a co-worker's chat, or a quick post on LinkedIn or X.

Desktop App (Local Files)

FolderMagicApp isn't just for the cloud. Our desktop application lets you organize files on your computer too.

1

Download the App

From your FolderMagicApp dashboard, find the Desktop App card in Step 2. Click Download (Windows) to get the installer. Also available from the Microsoft Store.

2

Connect Your Account

Copy your API Token from the Desktop App card on your dashboard (use the copy button). Open the desktop app and paste the token to link your account.

3

Pick a Base Folder and Sort

Choose a base folder on your computer. The app creates a Magic Folder inside it. Drop files there and click Sort Files Now. Best results: sort 20–50 files per run.

Tips & Best Practices

Start Small

Don't try to organize everything at once. Start with one messy folder, see how FolderMagicApp handles it, then expand from there.

Use Descriptive File Names

FolderMagicApp sorts better when file names are descriptive. "Q4_Budget_2026.xlsx" sorts more accurately than "doc1.xlsx."

Review Before Applying

Always review the suggestions before clicking "Apply," especially the first few times. This helps you understand how FolderMagicApp thinks and lets you catch anything unexpected.

Set Up Email Notifications

If you use scheduled sorting, turn on email notifications. This way you always know exactly what was moved and where, without having to check the dashboard.

Your Magic Folder = Your Drop Zone

Think of your Magic Folder as your inbox for everything. Whenever you download, receive, or save a file, drop it into your Magic Folder. When you're ready, click "Sort Files Now" and everything gets filed away into the right folders. Your Magic Folder empties out and is ready for the next batch.
